Ask an Indian small business where its leads are and the honest answer is: a few WhatsApp chats, a Meta Ads export, two Excel sheets and the memory of the best salesperson. When that person leaves, so do the leads. A CRM fixes this only if the team uses it, and Indian teams use what is fast, works on a phone and lives close to WhatsApp. That is the standard AICLEX Technologies builds to.
This page covers when a custom CRM beats buying Zoho, HubSpot or LeadSquared, what we build, how WhatsApp fits into the pipeline through our own WhatsPilot platform, and what it costs. We build and sell a vertical CRM, Siteboard, for real-estate developers, so the advice comes from running one.
Off-the-shelf CRM or custom? An honest comparison
Buy Zoho CRM, HubSpot or LeadSquared when your sales process is standard, your team is small, and you accept per-user monthly pricing, often ₹800 to ₹3,000 per user for tiers with automation. They are mature and quick to start. Their weak spots are WhatsApp workflows that feel bolted on, customisation that soon needs a consultant, and seat costs that grow with headcount. We set up Zoho for clients when it is the right fit and say so on the first call.
Build custom when your process is unusual (site visits, EMI follow-ups, batch-wise counselling, dealer networks), when WhatsApp is your main channel and you want conversations and pipeline on one screen, when you need ERP or Siteboard integration, or when 15 or more users make per-seat pricing hurt. Custom costs more upfront, is yours forever, and matches how your team sells.
- Off-the-shelf: fast start, per-user fees, standard workflows, shallow WhatsApp
- Custom: higher upfront, no per-user fees, workflows and reports built for you
- Both need discipline: a CRM nobody updates is an expensive address book
What our custom CRM includes
Lead capture from every source: website forms, Meta and Google lead ads via webhooks, WhatsApp, IndiaMART or JustDial exports, missed-call numbers and manual entry, deduplicated by phone number. A visual pipeline with your stages (for a coaching institute: enquiry, counselling call, demo attended, fee discussed, enrolled), and reminders that appear on each rep's phone every morning.
WhatsApp sits inside the pipeline: the rep sees the conversation beside the lead, sends approved templates with one tap, and the system logs it. Automated sequences run through WhatsPilot: a welcome message within a minute, a nudge after 24 hours of silence, re-engagement after 7 days. Zonvo, our AI voice agent, can place first-level qualification calls when volumes spike. Reports cover source, stage conversion, response time and revenue per rep.
- Multi-source lead capture with phone-number deduplication
- WhatsApp conversations and templates inside the lead screen via WhatsPilot
- Automatic routing by city, product, language or round robin
Lead routing and response time
A lead answered within five minutes converts far more often than one answered next morning, yet most small businesses route leads by forwarding a screenshot to a WhatsApp group. We configure rules: Lucknow leads go to the Lucknow counsellor, plot enquiries above a budget go to the senior closer, and a lead untouched for 15 minutes is reassigned and the manager notified. After-hours leads get an automatic WhatsApp acknowledgement.
For real-estate clients on Siteboard, routing plus instant WhatsApp replies changed the rhythm of the sales team because nobody could claim they never saw the lead. Every assignment is recorded, so the owner's weekly review runs on data instead of debate.
Delivery, what you provide, ownership and support
Week 1: we sit with your sales team and map how a lead actually moves from first contact to payment. Week 2: pipeline, fields, roles and automations are reviewed on a clickable prototype. Weeks 3 to 6: build, WhatsApp Business API setup and template approvals, lead source integrations and routing rules. Week 7: import of existing leads from Excel or your old CRM. Week 8: training and go-live, then two weeks of tuning.
From you we need a sales head who owns the process, access to Meta Business Manager and Google Ads, existing lead sheets, and agreement on one rule: every lead lives in the CRM, not in personal phones. Any CRM fails without that rule.
Code goes to your GitHub, hosting runs in your cloud account in Mumbai, and the WhatsApp number is registered to your business. Data is encrypted, backed up daily and restricted by role, with export limited to owners so a departing employee cannot take the database. After 45 days of included adjustments, an optional monthly plan covers new sources, template changes and further automations.
Who this is for
- Coaching institutes handling hundreds of enquiries a month across WhatsApp, Meta ads and walk-ins
- Real-estate developers and channel partners needing site-visit tracking, often alongside Siteboard
- Clinics and wellness centres converting enquiries into appointments
- B2B SMEs with dealer networks needing quotation follow-up and pipeline visibility
- Service businesses (interiors, solar, insurance, travel) where weeks of follow-up decide the sale
Why choose AICLEX™
We sell a CRM ourselves
Siteboard is our own real-estate CRM used by developers, so we understand adoption, reporting and follow-up discipline from the operator's side.
WhatsApp inside the pipeline
Through WhatsPilot on the official WhatsApp Business API, conversations, templates and automated follow-ups sit next to every lead, not in a separate app.
Honest about buying versus building
If Zoho or another tool fits your process we say so and can set it up. We build custom only when it pays back in adoption, fees saved or process fit.
No per-user licences, full ownership
Grow from 5 to 50 reps without extra software fees, with code in your repository and data in your cloud account hosted in India.
Pricing
A custom CRM with lead capture, pipeline, WhatsApp integration, routing and core reports typically starts around ₹1.5 to ₹4 lakh, with ERP integration, AI calling and advanced analytics pushing it to ₹4 to ₹8 lakh. Setting up an off-the-shelf CRM such as Zoho is quoted separately and costs much less. Written proposal after a discovery call, milestone payments, GST invoice on each.
Frequently asked questions
How much does custom CRM software cost for a small business in India?+
A custom CRM with multi-source lead capture, pipeline, WhatsApp integration, routing and reports usually starts around ₹1.5 to ₹4 lakh. ERP or Tally integration, AI calling and advanced dashboards take it to ₹4 to ₹8 lakh. With no per-user fee, three-year cost of ownership is often lower than a subscription CRM for teams of 15 or more.
Should we just use Zoho, HubSpot or LeadSquared instead?+
Possibly, and we will tell you on the first call. If your process is standard and your team is under ten users, an off-the-shelf CRM is usually sensible and we can configure it. Custom makes sense when WhatsApp is your primary channel, your workflow is unusual, you need deep integrations, or seat fees have grown large.
How long does it take to set up the CRM?+
A custom CRM goes live in about 8 weeks: process mapping, prototype, build with WhatsApp API and lead integrations, data import, then training. WhatsApp Business API verification and Meta template approvals can take a week or two, so we start them on day one. Off-the-shelf configuration takes 2 to 3 weeks.
Does the CRM integrate with WhatsApp, Meta lead ads and our website?+
Yes. Meta and Google lead forms arrive through webhooks within seconds, website forms post directly, and WhatsApp conversations run on the official Business API through WhatsPilot with approved templates. IndiaMART, JustDial and other portals connect by API or scheduled import depending on what each portal allows.
Who owns the CRM and our lead data, and is it secure?+
You own both. Code is in your GitHub, hosting is in your cloud account in India, and the WhatsApp number is registered to your business. Data is encrypted, backed up daily and restricted by role, with export limited to owners so reps cannot take the database when they leave. A confidentiality clause is standard.
Can we start small and expand later, and is there an AMC?+
Yes. Many clients begin with one sales team and one lead source, prove that follow-up improves, then add branches, sources and automations. After 45 days of included adjustments, a monthly support plan covers new integrations, template changes and reporting requests. It is optional and can be paused in slow seasons.
